How we handle your data

This privacy policy will set out how Safari Plains Africa, handles any personally identifiable information that you make available to us whilst using our website. Transparency, honesty and trust are at the heart of our business values and are at the front of our minds when designing our trips. As such, we believe that your data should be handled in the same way. Should we ask you to provide any information by which you can be identified when using this website, you can rest assured that it will only be used in accordance with this privacy policy.

Information we may collect from you

We will collect information from you through our online enquiry form, over the phone when you call, and when you send emails and other forms of messaging. If you are travelling with any other people, you must ensure that they understand how their information will be used and that they have given their permission for you to share it with us.

Through discussion of your travel plans with Safari Plains Africa, we may collect the following personally identifiable information in order to communicate with you;

  • Last name
  • Email address
  • Telephone number

It may also be necessary for us to collect some further personally identifiable information in order to reserve flights, hotel rooms, tours etc;

  • Address information
  • Date of birth
  • Passport number
  • Passport copy
  • Frequent flyer numbers

Our policy is to avoid asking for any sensitive personal information from you, examples of which include racial or ethnic background, political standing, religious beliefs, mental health or sexual preference, unless we deem it necessary for the type of trip you are embarking on. We may need to ask for information pertaining to your physical health if your trip will be physically demanding or if you require special access due to a disability.

What we do with your information

We require some personal information in order to fulfill our contractual agreement with all of our travellers. The information we collect is the minimum amount necessary in order to prepare a bespoke travel itinerary and make essential flight, accommodation and tour reservations on your behalf. Your information will be stored for internal record keeping purposes on our secure servers for a period of five years. We will use your information to help us improve our services.

We will also use this information for communication purposes, for example we will send you offers and news about our company. We will send you these if you have opted in to receive them. Alternatively there will always be an ‘unsubscribe’ link at the very bottom of every email.

3rd party disclosure of your information

Safari Plains Africa does not rent, sell or share the personal information we hold with any 3rd party organisations for the purposes of marketing products or services. Your data is never given to advertisers.

It is necessary for Safari Plains Africa to share your information with our contractors, service providers and suppliers in order to fulfil our business obligations as a tour operator, as outlined above.

Use of cookies

A cookie is a small text file which is added to your computer’s hard drive whenever you visit or navigate a website. Cookies can serve many functions across the web; most commonly cookies are used to analyse web traffic and web applications.

We use Google Analytics tracking cookies to identify which pages are most popular on our website and which content is most engaging to our travellers. These cookies have a very short retention rate and will automatically be removed from your hard drive after this period.

The cookies we use help us provide you with a better website experience and a more enriching experience with Safari Plains Africa. A cookie does not give us access to your hard drive or any personally identifiable information about you. We utilise telephone tracking numbers in order to track the marketing source for our telephone calls. Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data
